This policy explains what information Socivia collects, how we use it, who we share it with, and the choices you have. In short: we collect what we need to run a group trip planner, we share it only with the service providers listed below and the people you plan trips with, we never sell it, and you can export or delete your data at any time.

1. Who we are

2. Information we collect

Account and profile

When you create an account we collect your email address, name, and username, and a password (which we store only as a salted hash). You may optionally add a short bio, a general location, a profile photo, and a cover image.

Payment handles

You may optionally add payment handles or usernames (such as Venmo, PayPal, Cash App, Wise, or Revolut) to your profile so trip members know where to send you money. These are display labels you choose to share. We do not connect to, authenticate with, or access any of those accounts, and we never see your balances or move funds. See our Terms of Service for how expense tracking works.

Trip and expense content

We collect the content you create in the Service: trips, destinations, itineraries and activities, places, photos, comments, polls, and the shared expenses you record (descriptions, amounts, currencies, and who owes whom). This content is visible to the other members of the trips you share it with.

Location data

We collect the destinations and places you search for and add to trips. We do not collect precise device GPS location unless you explicitly enable a feature that asks for it.

Forwarded booking emails

If you forward a booking confirmation to Socivia, we process the contents of that email to extract reservation details (such as flights, hotels, dates, and confirmation numbers) and add them to your trip. We process these emails only for that purpose.

Sign in with Google

If you sign in with Google, we receive your name, email address, profile picture, and Google account identifier from Google to create and secure your account. We do not request access to your Gmail, contacts, or other Google data.

Technical and usage data

Like most online services, we automatically collect limited technical data such as IP address, device and browser type, and app version, along with diagnostic information when something goes wrong, to keep the Service secure and reliable.

3. How we use your information

  • To provide, maintain, and improve the Service and its features.
  • To create and secure your account and authenticate you.
  • To enable group trip planning, including sharing your content with the trip members you choose.
  • To send transactional messages such as email verification, password resets, trip invites, and notifications.
  • To understand how the Service is used through privacy-preserving product analytics (see below).
  • To detect, prevent, and respond to fraud, abuse, security incidents, and technical problems.
  • To comply with legal obligations and enforce our Terms of Service.

Product analytics

We record a small set of product events (such as signing up, creating a trip, inviting a member, and opening an itinerary) to understand how people use Socivia and to improve it. These events are captured on our servers and keyed to your account; we do not use third-party advertising trackers or cross-site tracking cookies for this. Our lawful basis is our legitimate interest in operating and improving the Service.

4. Service providers and sub-processors

We share personal information with the service providers below so they can perform services on our behalf. They are permitted to use it only to provide those services to us, under contractual confidentiality and security obligations.

5. How we share information

  • With other users: content you add to a trip is visible to the members of that trip, and content you post to a public profile or shared link is visible to anyone with the link.
  • With service providers: as described in the table above.
  • For legal reasons: when we believe disclosure is required by law, legal process, or to protect the rights, safety, or property of Socivia, our users, or the public.
  • In a business transfer: if Socivia is involved in a merger, acquisition, or sale of assets, your information may be transferred, subject to this policy.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

6. Cookies and similar technologies

We use cookies and similar technologies that are necessary to operate the Service, such as keeping you signed in and remembering your preferences. We do not use third-party advertising cookies. You can control cookies through your browser settings, though some features may not work without them.

7. Data retention

We retain your personal information for as long as your account is active or as needed to provide the Service, and afterward only as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we delete or de-identify your personal information; note that shared trip and expense records may remain visible to other members of those trips with your name and contact details removed.

8. Your rights and choices

You can access and update most of your information directly in your account settings. Socivia also provides built-in tools to export your data and to delete your account.

Depending on where you live, you may have additional rights under laws such as the EU/UK GDPR or the California Consumer Privacy Act (CCPA), including the rights to access, correct, delete, and port your personal information, and to object to or restrict certain processing. Where we rely on consent, you may withdraw it at any time. We will not discriminate against you for exercising these rights. To make a request, use the tools in your account settings or contact privacy@socivia.app.

Where required, our legal bases for processing are: performing our contract with you, your consent, our legitimate interests in operating and securing the Service, and compliance with legal obligations.

9. Children

The Service is intended for people aged 18 and older. It is not directed to children, and we do not knowingly collect personal information from anyone under 18, or any personal information from children under 13. If you believe a child has provided us with personal information, contact us and we will delete it.

10. International data transfers

Socivia and our service providers may process your information in countries other than where you live, including the United States. Where required, we use appropriate safeguards for these transfers. Individuals in the EU/UK can reach our representative at [EU/UK REPRESENTATIVE CONTACT].

11. Security

We use technical and organizational measures designed to protect your information, including encryption in transit and hashed passwords. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
